This policy covers our website konquermediaagency.com and the services we provide to our clients.
1. What we collect
We collect personal information only where it is reasonably necessary for, or directly related to, our business activities. This includes:
- Contact details — name, email address, phone number, business name, ABN, business address, and role.
- Enquiry information — project details, budget, timeline and anything you tell us in a brief or proposal request.
- Technical data — IP address, browser type, device information, referring URLs, pages viewed, and cookies.
- Client-provided material — when you engage us, you may share brand assets, customer lists, creative briefs and access credentials to your advertising and social media accounts.
- Customer data for clients — when you engage us to run Meta Ads, lead capture or CRM automation on your behalf, we may handle personal information about your customers (names, contact details, enquiry data). We handle that information only as directed by you.
2. How we collect
- directly from you (web forms, emails, calls, brief submissions);
- automatically when you visit our website (cookies, analytics);
- from third parties (e.g. Meta, Google, referrers) where you have given permission to those parties to share with us; and
- from publicly available sources (e.g. company registries).
3. Why we collect and use it
We use personal information to:
- respond to enquiries, provide quotes and propose services;
- deliver the services you've engaged us for (shoots, content production, ad management, reporting);
- issue invoices and manage payments;
- comply with legal, tax and accounting obligations (including the A New Tax System (Goods and Services Tax) Act 1999);
- improve our services, website and content offering;
- send service updates and reports to clients; and
- with your consent, send direct marketing about related services.
We do not use personal information for automated decision making that produces legal effects on you.
4. Who we share with
We share personal information only with parties that help us deliver the services, and only to the extent necessary. These include:
- our own staff and contractors (editors, shooters, drone pilots), who are bound by confidentiality and independent-contractor agreements;
- cloud and SaaS providers: Google Workspace (email, Drive, Calendar), Xero (accounting), GoHighLevel / LeadConnector (CRM, SMS, email), Meta Platforms, Google LLC (ads, analytics), Stripe and/or GoCardless (payments), and similar service providers;
- our professional advisers (accountant, solicitor, auditor); and
- government agencies where required by law (ATO, ASIC).
We may transfer personal information overseas to our cloud providers (including the United States, the European Union and other jurisdictions). We take reasonable steps to ensure overseas recipients comply with APP obligations, including through contractual safeguards.
5. Client customer data
When Konquer handles personal information about a client's customers (for example, leads collected via Meta Ads or a GHL-hosted form):
- the client remains the primary holder of that information under the Privacy Act;
- Konquer acts as a service provider and handles the data only on the client's documented instructions;
- Konquer will notify the client without undue delay if we become aware of a data breach affecting their customer information, and will cooperate on assessment and notification under the Notifiable Data Breaches scheme; and
- on termination of the engagement, client customer data is returned or securely destroyed at the client's request, except where retention is required by law.
6. Cookies and analytics
Our website uses cookies and similar technologies to understand traffic and improve content. These include strictly necessary cookies (for basic site function), analytics cookies (Google Analytics, Meta Pixel) and marketing cookies (for retargeting). You can manage cookie preferences in your browser; disabling all cookies may affect site functionality.

Under the APPs you have the right to:
- access the personal information we hold about you;
- request correction of inaccurate or outdated information;
- withdraw consent to marketing communications at any time;

8. Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. Measures include access controls, two-factor authentication on core systems, encrypted storage, and contractor confidentiality agreements. No system is perfectly secure, and we cannot guarantee the security of data transmitted to us over the internet.
9. Retention
We retain personal information only for as long as is necessary to provide our services, comply with legal and tax obligations, and resolve disputes. Financial records are retained for at least 5 years under ATO rules. Raw footage and production project files are retained for 12 months from capture unless a longer retention period is agreed.

We may update this policy from time to time. The "Last updated" date at the top of this policy indicates the most recent revision. Material changes will be announced on this page or sent to our clients directly.
